Setting Up Your Integration with Greenhouse

How to set up the Greenhouse to Namely integration.

Part 1: Create the greenhouse_id custom field in Namely

You will need this field in order for hired candidates to flow into Namely.

  1. In Namely, go to Company > Settings > Profile Fields (under Employee Data).

  2. Scroll down to the bottom of the General section and click Add New Field.

  • Label should be greenhouse_id

  • Type should be Text

If you create the field with a typo, please delete it and recreate it rather than editing the field name

Part 2: Log in to Namely Connect

  1. Go to Namely Connect.

  2. On the first page, type in your company’s permalink and click Continue.

  3. If you’re not already logged into Namely on the browser, you'll be prompted to log in to Namely as you normally do. Enter your Namely credentials to log in.

  4. When prompted, click Accept to authorize Namely Connect.

Part 3: Set a valid Namely Connect Owner

  1. Now that you've logged in, navigate to and click on the View all users link at the top of the screen.

  2. Ensure the user who’s selected as the Owner has the Administrator access role and is an active employee in Namely HCM. If the current Owner meets those requirements, click on the Namely logo in the top-left of the screen to navigate back to the Namely Connect dashboard.

  3. If you don’t see a valid Owner in the list of users, have a user who meets the requirements (i.e. an active Administrator) log in to Namely Connect.

  4. Once this user has logged in, they'll be added to the list of users in Namely Connect, at which point they can be selected as the Owner.

Part 4: Connecting to Greenhouse

  1. In Namely Connect, find the Greenhouse integration and click the Connect button.

  2. When prompted, enter New Hire for the Name.

  3. Copy the Secret key as you'll need to enter it in a later step.

  4. At this point, you'll be able to configure whether you want the Namely employee profiles to be created as a draft onboarding session in Namely Onboarding or directly created as an active employee profile.

  5. Click Connect.

  6. You’ll see a list of standard Field Mappings. For more information about what fields flow through please refer to the About Greenhouse document. If you're using Namely Payroll, you may need to set up additional custom fields in Greenhouse to ensure a successful sync. Simple steps for this are also provided at the bottom of the About Greenhouse document.

  7. Continue through by clicking Save Field Map.

  8. Back on the main page of Namely Connect, you’ll see a new button appeared under the Greenhouse integration.

  9. Click the Show Webhook URL button.

  10. When the URL appears, copy it as you'll need to enter it in a later step.

Part 5: Connect Greenhouse and Namely

  1. Log in to your Greenhouse account and go to Webhooks (or go to Settings > Configure > Dev Center > Web Hooks > Webhooks). Create a new Webhook by filling out the form.

  • For Name this web hook, enter Namely Connect

  • For When, select Candidate has been hired

  • For Endpoint URL, copy-paste the url from STEP 21

  • For Secret key, copy-paste the key from STEP 14

  • For Error recipient email, enter your or your administrator's email

  1. Click Save. If you're not a Namely Payroll user, you're all set! If you're a Namely Payroll user, you'll need to set at least one additional custom field up in Greenhouse to ensure a successful sync (this article describes how to set custom fields up in Greenhouse).

  2. The custom fields that you may want to set up in Greenhouse are payroll_company and payroll_job. Please refer to Greenhouse: Synced Fields and Integration Settings for more information about how these fields are created and used in the context of the Greenhouse integration.
